# Roofing Lead Follow-Up: A Simple System That Wins More Jobs

A roofing lead follow-up system from first call to signed contract: response times, inspection booking, estimate follow-up cadences, storm-season surges and insurance-claim jobs.

By the TribeHQ team · Updated October 3, 2026

Roofing jobs are big decisions. Homeowners collect several estimates, wait on insurance, talk to their partner, and take time to decide. Most lost jobs aren’t lost on price — they’re lost because another roofer **followed up** while you were busy on the next roof.

Here’s a simple roofing lead follow-up system, from the first call to the signed contract.

## Stage 1: The first response

Goal: reply before anyone else, with a real next step.

- **Missed calls** → text back from your business number within a minute.
- **Web, Google and Facebook leads** → reply within minutes, not hours.
- **Ask three things:** address, what’s going on (leak, storm damage, age of roof, replacement quote), and how urgent it is.
- **Offer two inspection times** rather than “we’ll call you to schedule”.

If you only fix one thing, fix this. See [speed to lead for contractors](https://tribehq.ai/guides/speed-to-lead-for-contractors/) for the full playbook.

## Stage 2: Booking and confirming the inspection

- Book straight into the real calendar or your roofing CRM.
- Send a confirmation with the inspector’s name and arrival window.
- Remind the day before and send an “on my way” text.
- If they no-show, follow up the same day with new times.

## Stage 3: The estimate

- Send the estimate the same day if you can, with photos from the inspection.
- Explain the options in plain English — repair vs replace, material choices, warranty.
- Make the next step obvious: sign online, book a call, or ask a question by text.

## Stage 4: Estimate follow-up cadence

A follow-up sequence that’s persistent without being pushy:

| When | Message idea |
| --- | --- |
| Day 1 | “Any questions about the estimate? Happy to walk through it.” |
| Day 3 | Share one helpful thing: material comparison, warranty explained or financing options |
| Day 7 | Check timing: “Are you still planning to get this done before winter?” |
| Day 14 | Ask directly: “Have you decided to go another way? Totally fine — just let us know.” |
| Day 30 | Seasonal check-in, then move to long-term nurture |

Stop the sequence the moment the homeowner replies, and hand the conversation to a person.

## Stage 5: Insurance-claim jobs

Claim jobs need their own follow-up because the homeowner is waiting on someone else:

- Track each step: claim filed → adjuster meeting → decision → supplements → approval.
- Confirm adjuster meetings and remind the homeowner the day before.
- Update the homeowner whenever something changes, even if the update is “still waiting on the carrier”.
- Follow up with the carrier on a fixed schedule rather than “when someone remembers”.

## Stage 6: Storm-season surges

After a storm, lead volume can jump overnight. Plan for it before it happens:

- **Instant replies** for every call and form, so nobody waits.
- **Triage by urgency** — active leaks first, inspections next.
- **Batch inspection routes** by area.
- **Hold back nobody:** leads you can’t serve this week still get a reply and a realistic date.

## Stage 7: After the job

- Request a review the day the job is finished.
- Ask for referrals — neighbours often had the same storm.
- Add the customer to a light annual check-in, such as an inspection reminder before storm season.

## What to automate (and what to keep human)

**Automate:** missed-call text back, first replies, booking confirmations, reminders, estimate follow-up drafts, claim-status reminders, review requests.

**Keep human:** the inspection, pricing decisions, conversations with worried homeowners, and anything involving the insurance claim itself.

## Put it into practice

Most roofing CRMs can store this process; the work is connecting the steps so nothing depends on memory. If you’d like it built on JobNimbus, AccuLynx or the tools you already use, see [AI for roofing companies](https://tribehq.ai/industries/roofing-contractors/) and [missed-call text back & AI receptionist](https://tribehq.ai/services/missed-call-text-back/).
