AI Receptionist vs Answering Service: Which Should Contractors Use?

AI receptionist, answering service or missed-call text back? How each works, what they cost to run, and which fits HVAC, roofing, solar and other home service businesses.

By the TribeHQ team · Updated

Every contractor knows the problem: the phone rings while you’re on a roof, under a house or driving between jobs. Miss it, and the homeowner usually calls the next company on the list. There are three common ways to stop losing those calls — an answering service, missed-call text back and an AI receptionist. They’re often lumped together, but they do very different jobs.

The three options, explained

Answering service

A team of people answers your calls with your business name, takes a message and passes it on by text or email.

  • Good at: sounding human, handling emergencies with a script, covering nights and weekends.
  • Limits: most services take messages rather than book jobs, they don’t know your schedule or prices, and you still have to call everyone back. Costs usually rise with call volume.

Missed-call text back

When a call goes unanswered, the caller instantly gets a text from your business number — “Sorry we missed you, how can we help? Book here: …”

  • Good at: catching every missed call within seconds, at very low running cost. Many homeowners prefer texting anyway.
  • Limits: it starts the conversation but doesn’t finish it on its own. Someone (or something) still has to qualify and book the job.

AI receptionist

An AI agent that answers calls or texts, asks the right questions (what’s the problem, address, how urgent), checks availability and books the job into your calendar or field software — handing off to a person when needed.

  • Good at: booking work 24/7, consistent answers, and logging every detail in your CRM so nothing is re-typed.
  • Limits: it needs to be set up properly — your services, service area, rules for emergencies and when to hand off. A badly configured AI receptionist frustrates callers.

Which one should you use?

Start with missed-call text back if you’re a small team that misses calls on the job. It’s the cheapest, fastest win, and it works for every trade.

Add an AI receptionist when call volume is high or seasonal — storm season for roofers, the first heat wave for HVAC — and you want jobs booked without anyone picking up the phone.

Keep (or add) a human answering service for true emergencies where a calm human voice matters, such as a no-heat call on a freezing night — or use the AI receptionist to route those calls straight to whoever is on call.

Many contractors end up combining them: text back every missed call, let an AI agent qualify and book routine jobs, and send emergencies to a person.

What to check before you buy anything

  1. Does it connect to your field software? If booked jobs don’t land in ServiceTitan, Jobber, Housecall Pro or your CRM, someone will re-type them.
  2. Does it use your business number? Customers should see the number they called.
  3. Can you set the rules? Service area, job types you don’t do, emergency routing, after-hours behavior.
  4. Can you read every conversation? You should be able to review what was said and step in.
  5. Who owns the data and setup? If you switch providers, do you keep your call logs, templates and workflows?

A simple setup that works for most home service businesses

  1. Missed call → text back within a minute from your business number.
  2. The caller replies → an AI agent asks the job type, address and urgency.
  3. Routine job → booked into your calendar or field software, confirmation sent.
  4. Emergency or anything unusual → routed to whoever is on call.
  5. Every conversation → logged in your CRM, with a daily summary for the owner.

That’s what we build in missed-call text back & AI receptionist: a custom front desk on your phone system and field software, owned by you. See how it fits HVAC companies, roofing contractors and solar installers.
